The starting point

The clinic was spending ~₺850K/mo on ads. WhatsApp drew 80+ daily messages — but operators averaged 4–6 hours to reply. In that gap, prospects either moved to a competitor or stopped messaging.

Consultation bookings were strong; procedure conversion was stuck at 18%. No-show rate sat at 32%. Management was reverse-engineering “which campaign actually produced a procedure” by hand at month-end.

The intervention

1. WhatsApp AI agent — instant first touch

In 14 days a Wasender + OpenAI bespoke WhatsApp agent went live. It:

  • Quoted approximate price bands (not specific quotes — sensible ranges)
  • Proposed appointments against the doctor’s calendar
  • Pushed budget-and-intent-qualified leads into the CRM

2. Voice agent — no-show prevention

A Retell-based voice agent calls 48 hours and 2 hours before the appointment. If cancellation comes in, it instantly proposes an alternative. No-show went from 32% to 14% within eight weeks.
